This Privacy Statement (V1.1) is effective from this day 26th February 2021.
1 General Information about us
1.1 Fire, consisting of two entities, Fire Financial Services Limited (registered in Ireland and regulated as a Payment Institution by the Central Bank of Ireland) and Fire Financial Services Limited (registered in the UK and authorised as an Electronic Money Institution by the Financial Conduct Authority) process personal data independently. All personal data can be accessed and used by both entities.
1.2 We comply with the EU General Data Protection Regulation (GDPR) and the Data Protection Act 2018 as well as the European Communities (Electronic Communications Networks and Services) (Privacy and Electronic Communications) Regulations 2011 (together “Data Protection and Privacy legislation”). We and our operating partners are committed to safeguarding the privacy and security of the information we collect.
2 Important information about this privacy statement
2.1 This Privacy Statement is applicable to Fire processing of all personal data of potential candidates or job applicants (candidates) processed in relation to our recruitment activities.
2.2 This Privacy Statement sets out the basis, on which any personal data you provide to us, or we collect from you through our website(s), our Applications and Services, or our operating partners will be processed by us.
2.3 If you do not agree with this Privacy Statement, you should not apply for a role at Fire.

3 Collection and processing of your personal data
3.1 We collect and use personal data primarily for recruiting purposes, in particular, to determine your qualifications for employment and to make a hiring decision. This includes accessing your skills, qualifications and background for a particular role, verifying your information, carrying out reference and/or background checks and generally managing the hiring processes and communicating with you.
3.2 We will collect and process personal information from you through the application and recruitment process. Such information may include, but is not limited to:
a) Name and other personal information such as gender, date and place of birth;
b) Contact information, such as address, telephone number and email address;
c) Past employment history (including previous employers, job titles, or positions) and references in order to evaluate potential employees for employment;
d) Other academic, professional, and training information, such as academic degrees and professional qualifications;
e) Your CV (which may include details of any memberships or interests constituting Sensitive Personal Information (as that term is defined herein));
f) National identifiers such as nationality/ies, national IDs/passport, social security / insurance numbers, immigration information, and visa status;
g) Information relating to previous applications you have made to Fire and/or any previous employment history with Fire;
h) Information concerning your application and our assessment of it;
i) CCTV images; and
j) Any other information you voluntarily provide throughout the process, including online, through interviews or other forms of assessment.
3.3 We may also collect some or all of the following personal information from other sources (in each case where permissible and in accordance with applicable law) when you apply for a role with Fire:
a) References provided by referees;
b) Other background information provided or confirmed by academic institutions and training or certification providers;
c) Criminal records data obtained through criminal records checks;
d) Information provided by background checking agencies and other external database holders (for example credit reference agencies and professional / other sanctions registries);
e) Information provided by recruiting or executive search agencies;
f) Information collected from publicly available sources, including any social media platforms you use or other information available online; and
g) Information confirming identity and immigration status to ensure our employees have the legal right to live and work in Ireland and / or the UK.
4 Access to your personal data within Fire
4.1 Your personal data can be accessed by relevant departments within Fire such as Human Resources, hiring managers, employees directly involved in your job application process, Compliance Officers or Data Protection Officers to the extent strictly necessary to fulfil their respective tasks.
5 How we protect and manage your personal data
5.1 We will take appropriate measures to ensure confidentiality of all information, both paper and electronic required for the recruitment and selection process. We will take appropriate steps to protect data stored or transmitted against accidental or unlawful destruction, accidental loss or alteration, and unauthorised or unlawful storage, processing, access or disclosure.
5.2 We will ensure that your personal data will only be accessed by authorised personnel for legally authorised purposes.
5.3 We will only use personal data in our possession for its intended, specific and authorised purpose.
5.4 Your personal data will be retained and maintained in accordance with applicable Data Protection and Privacy laws and regulations. Upon request by you, we will amend the personal data we hold if factually incorrect or incomplete and provide you with a copy of any personal data held by us.
5.5 All our employees are trained in applicable Data Protection and Privacy legislation and will act with due care and diligence when handling personal data.
6 Third parties and your data
6.1 We may disclose your personal information to third parties in the following circumstances:
a) Your personal data may be transferred to contracted third parties, e.g. recruitment platforms, recruitment agencies, firms external to us for the purposes of recruitment, background checks and regulatory requirements. Contracted third parties are obliged to ensure that your personal data is securely managed at all times and will only use this data in line with our specific instructions;
b) We and our contracted third parties may share your personal information with authorities both within Ireland and abroad to prevent money laundering, terrorism and fraud in order to meet legal obligations;
c) If we are under a duty to disclose or share your personal data in order to comply with any legal obligation.
d) If you give explicit permission to do so.
7 Your personal data rights
7.1 You have a right to the following (unless it conflicts with another legal obligation):
a) Seek access to information which we hold about you;
b) To ask us to correct information about you which is inaccurate, incomplete or out of date;
c) To erase your personal data unless certain conditions apply including that processing is necessary for compliance with a legal obligation;
d) To restrict the processing of your personal data or to object to such processing;
e) To data portability whereby your personal data can be transmitted directly from one controller to another where technically feasible;
f) Withdraw your consent to the processing of your personal data at any time;
g) Lodge a complaint with the Information Commissioner’s Office (UK) and the Data Commissioners Office (Ireland).
8 Retention of your personal data
8.1 We must comply with a number of statutory and regulatory requirements in relation to the retention of data. Your personal data will be retained for as long as the purpose for which we collected it continues, unless a longer retention period is necessary to comply with legal requirements or protect our interests. If you submit a job application and become our employee, we will retain the information obtained during the recruitment process for the duration of your employment. If you applied for a job and were unsuccessful, Fire may retain your personal data for future vacancies in line with our Data Protection and Retention Policy.
9 Changes to this Privacy Statement
9.1 We continue to review our controls and processes to ensure that they are effective in meeting our commitments to our customers. We reserve the right to change this Privacy Statement without notice at any time and from time to time, including as needed to comply with the laws and regulations of the jurisdictions within which we operate. You are advised to regularly review the Privacy Statement for possible changes.
